Job overview As an Office Manager at Topcon you coordinate day-to-day functioning of the office facility around a variety of operational duties and any other ad-hoc tasks assigned, to provide a safe and productive work environment.

You will work with onsite managers to coordinate building management, maintenance and occupation requirements mainly in Zoetermeer, for the time being also in Capelle aan den IJssel, and in Eindhoven.

Main tasks include : Managing the ordering of office supplies and other necessary consumables Coordination with housekeeping and other third parties Guest reception duties in Zoetermeer (future).

Responsible for the whole representation of the office and taking care of business correspondence (in-coming and out-going) HR support : Onboarding- and off-boarding employees BHV- and ARBO Arranging on- or offsite meetings per the request of local managers Administrative support for business executive leadership as needed Business travel support : Managing SAP Concur, support users and point of contact for corporate travel agency.

Support with visa applications and preparation of invitation letters for visa requirements of visitors Provide support for visitors as requested by business executive leadership Communicate to employees on office related topics About you! An experienced hospitality- and service minded teamplayer who takes ownership and is process driven.

You are organizational sensitive, pragmatic and have a hands-on mentality. With your dynamic and proactive attitude , you will succeed to continuously improve the best solutions.

You will use best practices to manage resources, services and processes while assisting the team with structured organizational and operational support.

  • You have a proven track record in a similar role and qualifications as : Office management or hospitality management (MBO+ or HBO) At least 3-5 years’ experience in a similar role High proficiency with Microsoft Office Excellent interpersonal and communication skills in Dutch and English Able to engage at all levels in the organization and external stakeholders High adaptability and inner resilience Curious and appreciates learning opportunities of challenges and problems A mind for detail;
