Order processing (40%)

  • Receive, review and process incoming purchase orders for assigned accounts.
  • Validate item pricing and ensure compliance with appropriate promotions and discount programs, confirm delivery mode.
  • Coordinate with customers and Sales personnel to identify and resolve order discrepancies.
  • Identify root cause of service issues and work with customer(s) and Sales personnel to develop and implement solutions.
  • Identify account credit issues and proactively work with accounting (Accounts Receivable) to ensure account information is correct and orders are released from credit hold in a timely manner.
  • Enter manual orders into the order processing system.
  • Review EDI maintenance processes and set ups for new customers
  • Ensuring that new release titles are shipped in accordance to their ship and street dates.
  • Monitor and process all returns according to financial requirements
  • Ensure compliance to all SOX reporting requirements
  • Fulfillment coordination (30%)

  • Ensuring that production builds for back cat and new release are tracked into warehouse and reconciled. Liaise with Supply Chain team in understanding (AA and AAA) releases inbound flows and translate these into local plans.
  • Coordinate with the warehouse to ensure customer orders are "picked, packed and shipped" in accordance with the customer's instructions and delivery windows.
  • Identify special handling requirements on an order-by-order basis and ensure these requirements are communicated to and executed by the warehouse.
  • Close communication with the 3PL and our onward logistics network on regular titles (back catalogue) and new titles (AA and AAA) releases.
  • Maintaining back-orders on a regular basis and keeping track of stock levels on all products.
  • Resolving any shipping queries or problems, obtaining POD's* when necessary
  • Produce Release schedule updates and onward communication to customers (internal & external).
  • Process all appropriate documentation and complete system updates as required to ensure timely invoicing of accounts.
  • Support Regional and Corporate Sales personnel (20%)

  • Track customer orders and communicate sales and shipping information as required. Maintain on-going customer communication regarding future release status, product information (cost, UPC codes, weights, etc.
  • PODs, orders status.

  • Close communication with the sales team, supply chain & finance.
  • Maintaining a strong customer relationship with day to day contacts of AB's key national accounts.
  • Other (10%)

  • Provide support for ongoing Operations projects and programs.
  • General office duties such as but not limited to maintaining logical filing system of all customer PO's
  • Any additional billing required for Inter-company sales.
  • Reconciliation and weekly / daily reporting as appropriate.
  • Maintain and communicate product cheat sheets to customers and 3PL (warehouse).
  • Gain experience working at one of the top players in the gaming industry!

    Player Profile

  • Customer Service background.
  • Data entry experience with excellent accuracy level.
  • Excellent Communication and language Skills. Spanish and English are a must.
  • Experienced Microsoft Office user. At least intermediate level Excel.
  • Experience using Oracle 12 or similar ERP system (e.g. SAP)
  • Should be able to handle multiple situations and workload through proper work balance, prioritization and delegation also under pressure.
  • Have done, can-do, will-do' approach.

  • Ability to deal and liaise with colleagues at all levels within Activision.
  • Pragmatic thinker, not afraid to work outside the box.
