Currently, we are looking for a . Are you ready for the next step in your career? Then join us! The Departmental Assistant is part of the Group Legal department and Group Regulatory Compliance department reporting into the Head of Legal.

The Group Legal department is headed by the Head of Legal and consists of 11 team members and the Regulatory Compliance department in headed by the Head of Regulatory Compliance and consists of 9 team members.

Purpose of the role

The Departmental Assistant performs a wide range of administrative and general support duties and plays an important role in the departments’ engagement with Aegon’s key stakeholders supporting Aegon’s overall strategic regulatory and advocacy planning.

The Departmental Assistant provides secretarial support to team members of the Group Legal department and the Group Regulatory Compliance department, including agenda management, accepting and handling incoming telephone calls, handling mail and email, receiving visitors and filing.

Key accountability

  • The Departmental Assistant works with visitors and callers to determine how best to assist them e.g., by answering questions and involving department members.
  • To this end, the Departmental Assistant works closely with colleagues across the organization arranging and scheduling meetings.

    More broadly, the Departmental Assistant keeps an eye on the department’s agenda management e.g., planning, prioritizing and coordinating meetings.

  • The Departmental Assistant provides support in responding to correspondence by editing or creating letters or reports.
  • The Departmental Assistant organizes the department’s meetings, which work includes circulating the agenda, recording key notes, and keeping track of actions agreed upon.

  • The Departmental Assistant manages travel schedules of the team members, books flights and accommodations, ensures the most efficient schedule possible.
  • Provides support in the processing of reimbursements and departmental spent in the appropriate systems
  • Draw up and edit reports and presentations based on instructions from team members
  • Store, archive and retrieve documentation and provide other document support services, to ensure documents are easily accessible and can be retrieved quickly
  • Take care of invoices
  • Make arrangements for new employees
  • First point of contact for general IT matters
  • Arrange attentions for personal events within the departments
  • Performing pro-actively any other tasks or carrying out any other duties as the team members may require
  • Coordinating legalization and apostille processes together with other team members

    As Departmental Assistant you have Around 3 to 4 years proven experience as a Departmental Assistant preferably within an international environment.

    Moreover, you have the following qualifications :

  • Knowledge of office management systems and procedures, and office equipment
  • Proficiency in MS Office (Outlook, Word and PowerPoint, in particular)
  • Easily able to adapt to new IT-systems
  • Hand-on, excellent time management skills and the ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Attention to detail and problem-solving skills
  • Acting pro-actively and flexibly
  • Excellent written and verbal communication skills in both Dutch and English
  • Accurate and service-oriented
  • Ability to work independently and in a team
