The Executive Assistant / HR Specialist position will assist the VP HR - EMEA, LATAM, Canada in the day to day running of their office, team communications and special projects.

Executive Assistance

  • Act as the main point of contact for the VP HR EMEA, LATAM & Canada and provide daily confidential support and maintain calendar
  • Maintain the correspondence, reports and presentations databases ensuring critical and / or confidential data is appropriately managed and stored.
  • Administrative duties around processing travel and expense reports. Coordination of travel arrangements, itineraries, meetings, and appointments such as monthly 1 : 1s with Direct Reports, Team meetings, Functional Business Review Meetings etc.
  • Manages and controls the budget (business travel, expense reports, reservations, contributions, events, etc.)
  • Communications

  • Prepare high level reports and power point presentations. (Engagement / Pulse Survey, Talent Reviews etc.)
  • Collaborate with internal stakeholders to build communication strategy and content for HR team
  • Owner of the HR team communication, propose an annual communication calendar and touch points for HR function
  • Process all incoming and outgoing communications (processing letters, reports and other materials, distribution of mail etc.)
  • Project Management

  • Act as a project management office for regional HR projects, e.g. maintain a log to track projects and their status,
  • Organize regular project review meetings and keep project teams accountable to their milestones
  • Coordinates the work to execute HR processes (i.e., talent reviews, CAR)
  • Responsible for maintaining and coordinating the Regional Annual Stock Award process
  • Manages additional projects or responsibilities as required
  • Education & Special Trainings

  • At least 3 years’ experience in an Executive Assistant role
  • University Degree would be preferable
  • Advanced skills in Microsoft Office especially PowerPoint
  • Qualifications & Experience
  • Excellent communication skills, both oral and written, required
  • Ability to produce quality work while, prioritizing multiple simultaneous deliverables and working in a fast-paced, demanding environment
  • Ability to be discreet and maintain confidential information
  • Team-player and proactive and proficient problem-solver with an entrepreneurial mindset
  • Ability to read and understand reports and able to select key metrics to include in reports and presentations
  • Candidate must be able to work on own initiative, e.g. creating draft presentations for forthcoming meetings / events.
  • Project management experience preferred
  • Strong attention to detail
  • Ability to work well under pressure, and perform daily duties with minimal supervision
  • Strong time-management, organizational and planning skills
  • Experience with engaging with C-suite executives, customers etc
  • Demonstrated high level of proficiency in Microsoft Office Suit (Outlook, Word, Excel, PowerPoint) including complex document creation (e.
  • g. mail merges), complex spreadsheet creation (e.g. VLOOKUP) and polished presentation creation
