Job Description

  • As District Receptionist(e) and Shared Services Support, you are responsible to deliver exceptional customer service towards all our customers, service providers and other visitors at the first point of interaction;
  • during calls or at the reception desk. Next to that, and evenly important, you ensure all visitors follow the Security, Health and Safety (SHS) procedures of the District.

    In this position, your goal is to assist the District SHS Manager and Facility Manager, to guarantee the high quality standards of the Facility- and Security, Health and Safety processes.

    Major Duties and Responsibilities :

  • Serving as key-point of contact for visitors and incoming calls;
  • Quick and friendly operate multiple-line phones;
  • Responsible to take accurate messages with attention to detail;
  • Communication and control of our security processes and tools (ProxyClick, ID-badges, etc.);
  • Responsible for collection, processing and distribution of daily post mail;
  • Maintain, control and order office supplies;
  • Assist with quotes and purchases of facility material / furniture;
  • Maintain a presentable reception area;
  • Inspection and maintain meeting rooms;
  • Key management of lockers, offices and dressing rooms;
  • Book meeting rooms and lunches;
  • Assist with the daily service level check of our suppliers (cleaning, canteen, coffee);
  • Assist the Facility manager with MBR / QBR with vendors and suppliers;
  • Support implementation and maintain of all applicable local compliance, laws and regulations;
  • All other activities as instructed & specified by your direct Manager
  • Qualifications

  • Minimum of MBO level 3 and 2 years related experience; or equivalent combination of education and experience with reception / security background;
  • Strong communicative skills : excellent written and verbal in Dutch and English;
  • Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results;
  • Emotional resilience and positive attitude;
  • Excellent attention to detail;
  • Solution-oriented (ad-hoc and pro-actively);
  • Proficient in Word, Excel, Outlook and various PC based software;
  • Able to expand the working hours to a maximum of 32 hours a week.
