POSITION SUMMARY :

Provides technical administrative assistance to the Maintenance and Engineering department generally consisting of professional or lower level management.

Responsibilities include preparing (technical) documents, maintaining schedules and agendas, assisting with tracking budgets, reports, and coordinating programs.

ESSENTIAL JOB FUNCTIONS :

  • May serve as a lead to staff to include assigning and monitoring work and providing direction.
  • Provides technical administrative support, such as maintaining department and employee schedules, coordinating meetings, agendas, and daily office activities, making travel arrangements, editing and preparing newsletters, brochures and basic reports, researching basic information, and providing related support.
  • Assists with tracking budget and department information, such as maintaining balances, researching discrepancies, and preparing related financial reports.
  • Assists with coordinating special programs involving internal and / or external staff; programs typically have guidelines or clear objectives.
  • Maintains, updates and ensures the accuracy of standard documents, records and accounts.
  • Performs basic office duties, such as copying, filing, faxing, typing standard documents, preparing, sorting, and distributing mail, entering data, and running basic or standard reports.
  • Performs other duties as assigned.
  • EXPERIENCE REQUIREMENTS :

    Some years of progressive office or clerical experience. Preferable within a technical / operational environment.

    EDUCATIONAL REQUIREMENTS :

    High school graduate or equivalent education and experience (level 3 / 4 MBO).

    SKILL REQUIREMENTS :

  • Providing administrative support;
  • Performing basic research;
  • Maintaining and tracking information;
  • Developing basic reports;
  • Coordinating basic programs and general activities;
  • Providing internal customer and external contractors service;
  • PC skills; Microsoft Office applications (Word, Excel, PowerPoint, Outlook); and other applications as required;
  • Communicating with co-workers to provide and receive direction.
